Overview

PROJECTBOARD INCORPORATED ("ProjectBoard", "we", or "us") values and respects your privacy. This Privacy Policy explains how we collect, use, and disclose personal information when you use ProjectBoard's platform for developing, collaborating on, hosting, showcasing, publishing, archiving, and sharing projects, including science, technology, engineering and mathematics ("STEM") projects, and when you use DaVi, our AI-powered STEM coach.

This policy covers the ProjectBoard website at projectboard.world, the ProjectBoard community platform at projectboard.net, the DaVi website at withdavi.com, and any related products or services including maintenance, support and other professional services (together, the "ProjectBoard Solution").

In plain language

We collect what we need to run the platform and help students learn. We do not sell your personal information. We do not use student conversations to train AI models without explicit, informed consent. Teachers and parents can see how a student used DaVi.

Who this applies to

This Privacy Policy applies to five categories of users:

Project Creators
Individuals registered to develop, collaborate on, showcase, publish, archive and share Projects.
Exhibition & Showcase Owners
Individuals and organizations registered to host or sponsor STEM Events and manage Projects.
Project Reviewers
Judges, mentors, or others appointed by a Project Creator or Showcase Owner.
DaVi Users
Students, educators, and institutions who interact with the DaVi AI coach.
Visitors
All other users acting as spectators.
Supervising Adults
Parents, guardians, teachers, and administrators with oversight access to a student's activity.

DaVi & AI conversations

DaVi is an AI coach designed specifically for STEM learning. When you use DaVi, we collect and process the following:

Scope limitation

DaVi is built to engage only with STEM project-related topics. It is designed to decline off-topic, personal, or non-educational requests. Conversations are moderated, and content that falls outside DaVi's intended educational scope may be logged and reviewed for safety purposes.

Conversation logging & transparency

Every DaVi conversation is logged in the student's research journal. This is intentional and central to how DaVi works. Where a student is part of a school, district, or organization account, designated educators and administrators can review these logs. Where a student account is linked to a parent or guardian, that adult can review the logs.

Why we log conversations

Academic integrity depends on visibility. Logging lets teachers verify that a student's thinking is genuinely their own, and lets parents understand how their child is using the tool. There is no hidden black box.

Human review

A limited number of trained personnel may review conversation content where necessary to investigate a safety concern, respond to a support request, or comply with a legal obligation. Access is restricted on a need-to-know basis.

Students under 18

DaVi is designed for students aged 13 and older. We do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13 without verifiable parental consent, we will delete it promptly.

School and district accounts

Where DaVi is deployed by a school, district, or organization, that institution administers the student accounts and determines what students may access. In this arrangement we act as a service provider to the institution and use student data only for the educational purposes the institution has authorized.

Parental and guardian rights

Parents and guardians may request to review their child's personal information, request its deletion, and refuse further collection or use. Requests can be made using the contact details in the Contact us section.

Please note

Projects published publicly on ProjectBoard are visible to anyone on the internet. Students and supervising adults should carefully consider what personal information is included in a public Project. Privacy controls are available to make Projects private or limit visibility.

What we collect

Creating an account

You do not need an account to browse public Projects. To become a Project Creator or use DaVi, you will provide an email address and a password. We use this to create and administer your account. We will never ask for your password in any unsolicited communication. Notify us immediately if you become aware of unauthorized access to your account.

Profile information

Project Creators may add a biography, profile image, username, skills, interests, links to social media accounts, and other details. Your profile is viewable by other users of the ProjectBoard Solution.

Billing information

Fees may apply for Exhibition and Showcase Owners and for paid DaVi plans. Billing information — card number, expiration date, billing address, and related payment details — is processed by a third-party payment processor. We do not directly process or store card numbers.

Event materials

Project Creators registered for an Event provide Project details and materials to the applicable Exhibition and Showcase Owner, along with any other information that Owner requires.

Marketing communications

If you sign up for email marketing, we collect your email address to send newsletters. You can unsubscribe at any time via the link at the bottom of each email, or by contacting us. You may still receive transactional and account-related messages.

Surveys and support

We may invite you to participate in surveys; survey information is used in aggregated, de-identified form. When you contact us with a question or complaint, we may ask for your name, email address, and other details needed to respond, and we may retain this to assist you in future.

How we use it

AI model training

Our commitment

Student personal information is never used to train AI models without explicit, informed consent.

We may use aggregated, de-identified usage data — patterns of interaction stripped of information that identifies an individual — to evaluate and improve the quality of DaVi's guidance. This use is disclosed in our terms of service.

Students, schools, districts, and organizations may opt out of having their data used for service improvement at any time by contacting us. Opting out does not affect your ability to use DaVi.

Where DaVi relies on third-party AI providers to generate responses, we contract with those providers on terms that prohibit them from using your content to train their own general-purpose models.

Sharing information

We do not sell your personal information, and we do not disclose it to third parties without your consent, except as set out below or as required or permitted by law.

Service providers

We transfer personal information to third parties who provide services on our behalf — website hosting, payment processing, AI model inference, advertising, analytics, and marketing. Service providers receive only the information needed to perform their function and are not authorized to use or disclose it for their own purposes. Our service providers may be located in the U.S. or Canada.

Schools, districts, and organizations

Where a student account is provisioned by a school, district, or organization, that institution may access the student's Projects, DaVi conversation logs, and progress data for educational oversight.

Legal and compliance

We and our Canadian and U.S. service providers may disclose personal information in response to a search warrant or other legally valid inquiry or order; to investigate a breach of agreement or contravention of law; to detect, suppress or prevent fraud; or as otherwise required or permitted by applicable Canadian, U.S. or other law or legal process, which may include lawful access by courts, law enforcement, or government authorities. Information may also be disclosed where necessary for the establishment, exercise, or defence of legal claims, or to investigate or prevent actual or suspected loss or harm to persons or property.

Sale of business

We may transfer information we hold about you as an asset in connection with a proposed or completed merger, acquisition, or sale — including transfers made as part of insolvency or bankruptcy proceedings — involving all or part of ProjectBoard, or as part of a corporate reorganization or other change in corporate control.

Website & cookies

Visiting our sites

You can generally browse without telling us who you are. We do collect the IP addresses of all visitors, along with page requests, browser type, operating system, and average time spent, to understand site activity and improve the experience.

Cookies

Our websites use cookies — small elements of data stored by your browser so we can recognize your device on return. You can set your browser to notify you when you receive a cookie or to refuse certain cookies. If you decline cookies, some features may not be available.

Analytics

We use third parties such as Google Analytics to gather and analyze information about areas visited on our sites, in order to evaluate and improve the user experience. We also use LogRocket to capture issues and crashes during user interactions for debugging. These third parties may use cookies and other tracking technologies.

To prevent Google's storage and processing of this data, you can install the browser plug-in at tools.google.com/dlpage/gaoptout. Further information is available at Google's partner sites policy and LogRocket's privacy policy.

Third-party links

Our sites may link to websites we do not own or operate. These links are a convenience, not an endorsement. Linked websites have their own privacy policies and terms. We have no control over them and no responsibility for how they handle personal information. We encourage you to read the privacy policy of every website you visit.

Interest-based advertising

We work with third parties such as ad networks that use their own tracking technologies — including cookies and pixel tags — to provide tailored advertisements across the internet. These companies may collect information about your activity on our sites and third-party websites and use it to make predictions about your preferences and deliver more relevant ads. This information may also be used to evaluate the effectiveness of our advertising campaigns.

We do not use student DaVi conversation content for advertising purposes.

To understand your options and opt out of behavioural ads from companies participating in the Digital Advertising Alliance of Canada, visit youradchoices.ca/choices. Even after opting out, tracking technologies may still collect data for other purposes such as analytics, and you will still see ads from us — they simply will not be targeted based on behavioural information.

To opt out successfully you must have cookies enabled. Your opt-out applies only to the browser you use, so you must opt out on each browser and device. If you delete your browser's cookies, you will need to opt out again.

Security & retention

We have implemented reasonable administrative, technical, and physical measures to safeguard personal information in our custody and control against theft, loss, and unauthorized access, use, modification, and disclosure. Access to personal information is restricted on a need-to-know basis to employees and authorized service providers who require it to fulfil their job requirements.

We retain personal information for no longer than necessary for the purposes set out in this policy, or as required to meet legal or business requirements. Retention periods vary depending on your choices, the sensitivity of the data, and applicable contractual or legal requirements.

DaVi conversation logs are retained for the duration of the associated Project and the student's account, so that educators and students can review the learning history. Students, or their institution where applicable, may request deletion.

Your choices

Your rights

You may request access to or correction of the personal information we hold about you. You may also ask us to delete your account and associated data, withdraw a consent you previously gave, or provide a copy of your information in a portable format. Where the law in your region gives you additional rights, we will honour those as well.

Make a request by emailing or writing to us using the details below. We may request certain information to verify the identity of the individual seeking access to their records.
